Max AI: Omni Translator
Effective Date: February 18, 2026
Last Updated: February 18, 2026
Introduction
This Privacy Policy explains how Max AI: Omni Translator (the "App", "we", "us", or "our") collects, uses, shares, stores, and protects information when Shopify merchants install and use the App.
The App is a business-to-business (B2B) application intended for Shopify merchants and store staff. The App is designed to translate store content and save translations back into Shopify. This policy focuses on the data we process to provide that functionality.
By installing or using the App, you agree to the practices described in this Privacy Policy.
1. Data We Collect
1.1 Store and Merchant Information
We collect and store information to identify your store and operate the App, such as:
- Shop domain (for example,
your-store.myshopify.com) - Shopify shop identifiers and basic store details (such as store name)
- Shopify session information (such as user ID, name, email address, locale, and session timestamps) when provided by Shopify during authentication
- Shopify access tokens required to make Admin API requests on your behalf
1.2 Store Content and Translation Data
To scan and translate your store, we access and may store store content that you choose to translate, including:
- Translatable content from supported Shopify resources (for example, products, collections, pages, blogs/articles, navigation/menu text, policies, notification templates, packing slips, image alt text, and theme text)
- Translation metadata used for accuracy and syncing (for example, content keys and content digests)
- Translation outputs (translated text) and translation status signals (such as translated/outdated/missing)
Important: The content you translate might contain personal data if you have entered it into your store content (for example, inside a page or policy). If you include personal data in content you ask the App to translate, that content will be processed for translation.
1.3 App Settings and Preferences
We store configuration settings that you control in the App, such as:
- Enabled languages ("app active languages")
- Auto-Pilot automation settings (schedule, target languages, selected resource types, time zone)
- Filters and tags used to include or exclude items from translation
- Notification preferences (for example, whether to send email notifications)
- Glossary terms (if you use the glossary feature)
1.4 Usage, Billing, and Operational Data
We store data needed to run jobs and manage usage, such as:
- Scan jobs and translation jobs (timestamps, status, error messages, and job summaries)
- Character counts and credit usage needed for quota and plan management
- Job history logs used for troubleshooting and support
1.5 Bring Your Own Key (BYOK) Provider Data (Optional)
If you choose to configure your own AI provider key inside the App (BYOK), we store the provider configuration you submit (such as provider type, model, and API key) so the App can use it for translation. You can disable BYOK or remove your BYOK provider settings at any time through the App (where available).
2. Data We Do Not Intentionally Collect
We do not request Shopify API scopes to access customer records or orders as part of the App's core translation functionality, and we do not intentionally collect:
- Customer order information
- Customer payment information
- Customer addresses, phone numbers, or email addresses from Shopify customer records
Note: As described above, if customer personal data is included by the merchant inside store content fields that you choose to translate (for example, in a page or policy), that content will be processed for translation.
3. How We Use Your Data
We use the data we collect for the following purposes:
- Authentication and security: To authenticate users, maintain sessions, and protect the App
- Scanning and inventory: To identify translatable content, calculate character totals, and measure translation coverage
- Translation and sync: To generate translations and register them back into Shopify using Shopify's translation APIs
- Automation: To run scheduled translations when you enable Auto-Pilot
- Merchant controls: To apply glossary rules, filters, and exclusion rules you configure
- Billing and usage: To track credit usage and manage subscription plans and top-up purchases through Shopify billing
- Notifications: To send optional job completion notifications when enabled
- Support and reliability: To diagnose issues, prevent abuse, and improve stability
4. AI Services and Subprocessors
4.1 AI Translation Providers
To generate translations, the App uses AI translation providers. Depending on your configuration, the App may use:
- Built-in provider configured for the deployment environment
- A third-party provider configured via environment settings
- A BYOK provider you configure in the App (optional)
4.2 Data Sent to AI Providers
When translating, we send only what is needed to generate translations, such as:
- Source text segments from your store content
- Target language/locale
- Optional glossary terms you have configured
We do not send your Shopify access tokens to AI providers.
4.3 Provider Retention and Terms
AI providers process data according to their own terms and policies. We recommend that you review the applicable provider documentation and privacy terms, especially if you enable BYOK.
5. Email Notifications
If you enable email notifications, the App may retrieve your store contact email address from Shopify (for example, the email on your Shop record) and use an email delivery provider to send job completion notifications. You can disable notifications in App settings.
6. Data Sharing and Disclosure
We do not sell your personal information.
We share data only as needed to operate the App, including:
- Shopify: To read and write store content and translations through Shopify APIs
- Service providers (subprocessors): Hosting, databases, caching/queue infrastructure, AI providers, and email delivery providers that help us operate the App
- Legal and compliance: If required to comply with applicable law, regulation, legal process, or enforce our rights
7. Data Retention and Deletion
7.1 Retention
We retain data only as long as needed to provide the App, meet legal obligations, resolve disputes, and enforce agreements. Typical retention may include retaining operational records (such as job history) while your subscription is active.
7.2 Uninstall and Shopify Compliance Webhooks
Apps distributed through the Shopify App Store must support Shopify's mandatory privacy compliance webhooks. The App is configured to respond to:
customers/data_requestcustomers/redactshop/redact
Upon receipt of a shop/redact request, the App deletes shop-related data from our systems, including sessions and shop records, which triggers cascading deletions for related shop data in our database.
If we do not have end-customer personal data associated with a request, we will respond accordingly.
8. Security
We implement reasonable technical and organizational measures designed to protect information from unauthorized access, disclosure, alteration, or destruction, including:
- Encryption in transit (HTTPS/TLS) where applicable
- Access controls and least-privilege internal access
- Monitoring and logging for operational security
No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Your Rights and Choices
Depending on your jurisdiction, you may have rights to access, correct, delete, or receive a copy of your personal information. You can also manage many settings directly inside the App (for example, disabling Auto-Pilot and notifications).
To request data access or deletion assistance, contact us using the details in Section 12.
10. Cookies and Similar Technologies
The App uses cookies or similar technologies that are required for authentication and embedded app functionality. These are used for essential operation and not for selling data.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to provide notice (for example, by updating the policy and/or notifying you in-app).
12. Contact Us
